SRS Homestay Refund Policy

Applies to all homestay bookings arranged through StudentRoomStay

1. Purpose

This policy outlines the refund terms for students and families participating in a homestay program through StudentRoomStay (SRS). All applicants are expected to review and agree to this policy before confirming their placement.


2. General Policy

SRS homestay placements require significant administrative work, host matching, and program coordination. As such:

  • Application fees are non-refundable under all circumstances
  • Refund eligibility depends on the timing of cancellation and the specific program enrolled in
  • All requests must be made in writing to: support@studentroomstay.com

3. Refund Eligibility & Cancellation Timeline

Cancellation Timeframe Refund Amount
More than 30 days before scheduled move-in 75% of homestay fees refunded
15–30 days before move-in 50% of homestay fees refunded
Less than 15 days before move-in 25% of homestay fees refunded
After move-in (student withdraws or is removed) No refund

Note:  The move-in date is considered the first day the student is scheduled to arrive at the host home, regardless of actual arrival.


4. High School Academic Year Programs (U18 Students)

For academic-year students placed under the Guardian Package, the following additional terms apply:

  • If a student’s visa is denied before arrival, a refund (less non-refundable fees) may be issued with documentation
  • If a student is expelled from school, violates the Student Code of Conduct, or is removed from a placement due to behavior, no refund will be granted
  • If a student leaves early for personal reasons, no refund will be granted unless approved by SRS in writing
  • If a student’s arrival is delayed, housing may be held for up to 2 weeks at SRS’s discretion; otherwise, the placement may be reassigned and no refund issued

5. Host Availability & SRS Responsibility

  • If SRS is unable to place a student due to host family unavailability, a full refund of homestay fees will be issued
  • If a placed student is unable to move in due to an SRS error or host family issue, a full or partial refund may be provided based on the circumstances

6. No Refunds Issued For:

  • Change of mind or preference for a different host family
  • Student deciding to move into private housing after placement
  • Expulsion from school or removal due to disciplinary issues
  • Missing required paperwork, delayed flights, or visa issues not disclosed in advance

7. Processing & Timeline

  • All refund requests must be submitted via email
  • Approved refunds are typically processed within 30 days of approval
  • Refunds will be returned to the original payment method unless otherwise agreed
  • Bank fees, currency conversion, and international transfer costs may apply
